An online archive mailbox can store older email messages in a way that they won't occupy space in your primary mailbox. If your primary mailbox is full, you won’t be able to send or receive mail until it is no longer full. The specialized online archive mailbox appears alongside your other mailbox folders in Outlook. You can manually move email messages by dragging and dropping them to the online archive.
To access your online archive, open the Outlook desktop application, or log into Outlook on the web (https://outlook.office.com/mail/).
Please note that many organizations have implemented policies to automatically move older emails from your mailbox to the online archive. This is done to ensure that Microsoft does not disable the ability to send or receive emails messages if you go over your mailbox limit. For information on your organizations policy please contact your IT Admin or your Office Manager.
You will see a mailbox named “In-Place Archive” and it will have your name on the end like this:
If you click the “In-Place Archive”, it will expand to show you all the folders in your online archive:
You can browse mail in the online archive just as you would in your primary mailbox.
To search for mail, you can click the icon in the search bar:
Then choose “All Mailboxes”. This option will search both your primary mailbox, and the online archive.
You can specify any additional criteria to search for the mail and then click “Search”.
